Paperwork
One template, filled from the booking, stored with the rental
Most small fleets run agreements out of a Word file. Someone edits last week’s copy, changes the names and dates, misses one, prints it, and the signed version ends up as a photo in a message thread.
Fleetiqo turns that into a template you write once. Your terms, your deposit and mileage policy, your late-return language. When a rental is created, the customer, vehicle and dates are filled in from the booking rather than retyped, which removes the entire class of error where the agreement describes a different car than the one that left.
The executed copy is stored against the rental. When a dispute happens — and it does — the agreement is in the same place as the booking, the customer record and the damage photos.
What it does
- Customisable agreement templates with your own terms, conditions and policies
- Customer, vehicle, dates and pricing populated automatically from the rental record
- Executed agreements stored against the rental, not in a separate folder
- Works for direct bookings and for rentals you add manually alongside marketplace trips
- Pairs with digital signatures so the whole loop happens without printing anything
What it does not
- Fleetiqo gives you the mechanism, not the wording. The clauses are yours, and what is enforceable depends on your jurisdiction — have a lawyer read your template once.
- It is not a compliance product. It does not check your terms against local rental regulations.
- Agreements are per rental. Master lease and long-term commercial contracts are outside what the template system is built for.
Common questions
Do you provide a rental agreement template to start from?
You get the mechanism and the field placeholders; the clauses are yours. Rental law varies enough between states and provinces that shipping a one-size template would be doing you a disservice. Bring the agreement you already use and turn it into a template.
Can I have different agreements for different vehicles?
Yes. Templates are separate documents, so an exotic with a lower mileage allowance and a commuter car can use different agreements.
Where are signed agreements stored?
Against the rental record in your account, encrypted at rest. They are yours and exportable; see the security page for how storage and retention work.
