Fleetiqo automates your rental business operations by syncing with Turo, tracking income and expenses, managing maintenance schedules, and providing detailed analytics on your fleet's performance. Save 10+ hours every week with automated data entry and intelligent insights.

Quick Start Guide
Get up and running with Fleetiqo in just a few minutes. Follow these steps to set up your account and add your first vehicle.
Step 1: Create Your Account
- Visit the Fleetiqo homepage and click "Start Free Trial"
- Enter your email address and create a secure password
- Verify your email address by clicking the link sent to your inbox
- Complete your profile with your name and business information
Step 2: Configure Your Settings
- Navigate to Settings from the main menu
- Select your preferred language (English or French)
- Choose your currency (USD, CAD, EUR, etc.)
- Set your timezone for accurate reporting
Step 3: Add Your First Vehicle
- Click "Add Vehicle" from the dashboard or navigation menu
- Enter the VIN number - Fleetiqo will automatically fetch vehicle details
- Add purchase price, current mileage, and insurance information
- Upload photos and documents (optional but recommended)
- Click "Save Vehicle" to add it to your fleet
Step 4: Connect Turo (Optional)
- Go to Settings → Turo Email Sync
- Enter your Turo notification email address
- Enable auto-sync to automatically import rentals
- Test the connection to verify it's working
Dashboard Overview
The dashboard is your command center, providing a real-time overview of your entire fleet's performance.
Key Metrics
At the top of your dashboard, you'll see four key performance indicators:
- Total Income: All revenue from rentals (Turo + off-platform) for the selected period
- Total Expenses: Sum of all maintenance, insurance, and other costs
- Net Profit: Income minus expenses - your actual earnings
- Fleet Utilization: Percentage of vehicles currently rented vs. available
Charts and Analytics
The dashboard includes several interactive charts:
- Monthly Income Trend: Line chart showing revenue over the past 12 months
- Occupation Rate: Bar chart displaying how often each vehicle is rented
- Financial Breakdown: Pie chart of income vs. expenses by category
- Performance Analytics: Compare vehicles side-by-side to identify top performers
Recent Activity
Below the charts, you'll find a feed of recent activity including:
- New rental bookings
- Completed rentals
- Maintenance records added
- Expense entries
- Turo sync updates

Use the quick action buttons to:
- Add a new vehicle

Vehicle Management
Manage your entire fleet with detailed vehicle profiles, automatic VIN decoding, and comprehensive tracking.
Adding a Vehicle
- Navigate to Add Vehicle: Click "Add Vehicle" from the main menu or dashboard
- Enter VIN: Type the 17-character VIN number. Click "Decode VIN" to automatically fetch make, model, year from the VIN decoder API
- Vehicle Details: The form will auto-fill make, model, and year. Verify and adjust if needed
- Purchase Information: Select purchase type (Auction or Retail), enter purchase price in both CAD and USD, and set the ownership start date
- Current Mileage: Enter the odometer reading in kilometers or miles. Use the unit toggle button to switch between km/mi - the system will auto-convert
- Insurance & License: Add monthly insurance cost and license plate number (optional)
- Save: Click "Add Vehicle" to save. The system will automatically create an initial mileage history entry and add the insurance as a recurring expense if provided
Vehicle Details Page
Click on any vehicle to view its detailed profile, which includes:
Summary Cards
- Total Income: All rental revenue generated by this vehicle
- Total Expenses: Maintenance, repairs, and other costs
- Net Profit: Income minus expenses
- ROI: Return on investment percentage
- Occupation Rate: Percentage of days rented
Vehicle Information
- Make, Model, Year
- VIN number
- Current mileage
- Purchase price
- Market value
- Monthly insurance
- Ownership date
- Days owned
Action Buttons
- Export Data: Download all vehicle data as CSV
- Auto-Sync Turo: Manually trigger Turo sync for this vehicle
- Update Mileage: Record new odometer reading
- Edit Vehicle: Modify vehicle details
Editing a Vehicle
To update vehicle information:
- Open the vehicle details page
- Click "Edit Vehicle"
- Modify any fields you need to update
- Click "Save Changes"
Deleting a Vehicle
To delete a vehicle:
- Open the vehicle details page
- Click "Edit Vehicle"
- Scroll to the bottom and click "Delete Vehicle"
- Confirm the deletion when prompted
Rental Tracking
Track all your rentals, whether from Turo or off-platform bookings, in one centralized system.
Adding a Rental
- Navigate to a vehicle's details page and click "Add Rental"
- Dates: Enter start date and end date for the rental period
- Rental Type: Select either "Turo" or "Outside Turo" from the dropdown
- Rental Amount: Enter the total rental income in USD (the system uses live exchange rates)
- Optional Mileage: Enter the odometer reading at the end of the rental (optional). If provided, this will update the vehicle's current mileage and create a mileage history entry
- Renter Information (Optional): Add renter's name and upload a photo of their driver's license for your records
- Click "Add Rental" to save
Editing Rental Information
To update renter details after a rental is created:
- Go to the vehicle details page and find the rental in the Rental History tab
- Click the "Edit" button next to the rental
- Update the renter name or upload/replace the driver's license image
- Click "Save Changes"
Deleting a Rental
To remove a rental:
- Find the rental in the rental history table
- Click the "Delete" button
- Confirm the deletion
Calendar & Bookings
Visualize all your rentals and availability in a unified calendar view with automatic Turo sync.
Calendar Overview
The calendar page displays:
- Desktop View: Full month calendar grid with color-coded events
- Mobile View: List of upcoming events (next 20) with dates and details
- All rental bookings from your vehicles (both Turo and off-platform)
- Manual calendar events you create
- Color coding: Blue for rentals, Green for manual events
Adding a Calendar Event
- Click "Add Event" button on the calendar page
- Event Title: Enter a descriptive title (required)
- Description: Add details about the event (optional)
- Location: Specify where the event takes place (optional)
- Start & End Date/Time: Select date and time using the datetime picker
- All Day Event: Check this box if the event lasts all day (no specific times)
- Click "Add Event" to save
CalDAV Sync (Apple Calendar Integration)
Sync your Fleetiqo calendar with Apple Calendar, Google Calendar, or any CalDAV-compatible app:
- On the calendar page, find the "CalDAV Sync" card (desktop only)
- Click to expand the setup instructions
- Copy the CalDAV URL provided
- In your calendar app, add a new CalDAV account using:
- Server: fleetiqo.com
- Port: 443
- SSL: Yes
- Username: Your Fleetiqo email
- Password: Your Fleetiqo password
- Your calendar will sync automatically
Maintenance Records
Track all maintenance, repairs, and service history for each vehicle to ensure optimal performance and resale value.
Adding a Maintenance Record
- Navigate to the vehicle details page and click "Add Maintenance Record"
- Maintenance Date: Select the date the service was performed
- Maintenance Type: Choose from the dropdown (Oil Change, Brake Pads, Tire Rotation, etc.) or select "Other" for custom types
- Cost: Enter the total cost of the service
- Mileage: Enter the odometer reading at time of service (required). The form pre-fills with the vehicle's current mileage
- Description/Notes: Add details about the work performed, parts used, or service provider
- Invoice Image: Upload a photo or PDF of the receipt (optional)
- Click "Add Maintenance Record" to save
Maintenance Types Available
The system includes pre-defined maintenance types:
- Oil Change
- Brake Pads, Brake Rotors, Brake Fluid
- Transmission Fluid, Coolant Flush
- Air Filter, Cabin Filter
- Spark Plugs, Battery
- Tires, Tire Rotation, Wheel Alignment
- Suspension, Exhaust
- Windshield Wipers, Lights/Bulbs
- Detailing/Cleaning, Inspection
- Other (for custom maintenance types)
Expense Tracking
Record all vehicle-related expenses to accurately calculate profitability and ROI.
Adding an Expense
- Navigate to the vehicle details page and click "Add Expense"
- Date: Select when the expense occurred
- Expense Type: Choose from the dropdown (Gas, Cleaning, Parking, Tolls, Registration, Insurance Payment, Other)
- Amount: Enter the cost
- Description/Notes: Add details about the expense (optional)
- Click "Add Expense" to save
Expense Categories
Track expenses by category:
- Gas: Fuel costs
- Cleaning: Car washes and detailing
- Detailing: Professional detailing services
- Parking: Parking fees and permits
- Tolls: Highway and bridge tolls
- Registration: DMV fees and vehicle registration
- Insurance Payment: One-time insurance payments (monthly insurance is tracked separately)
- Other: Miscellaneous expenses
Income Management
Track all revenue sources including Turo rentals, off-platform bookings, and one-time income like insurance claims.
Income Sources
Fleetiqo tracks three types of income:
- Turo Rentals: Automatically synced from your Turo account via email integration
- Off-Platform Rentals: Manually added bookings from other sources
- One-Time Income: Insurance claims, damage compensation, sale of parts, accident settlements, etc.
Adding One-Time Income
- Navigate to the vehicle details page and click "Add One-Time Income"
- Date: Select when you received the income
- Income Type: Choose from dropdown (Insurance Claim, Damage Compensation, Sale of Parts, Accident Settlement, Other)
- Amount Received: Enter the total amount you received
- Cost Incurred: Enter any costs associated with this income (e.g., repair costs for an insurance claim). Leave as 0 if no costs
- Net Profit: The system automatically calculates this as Amount Received minus Cost Incurred
- Description: Add details about the income source (optional)
- Click "Add One-Time Income" to save
Turo Auto-Sync
Automatically import all your Turo rentals, earnings, and renter details by connecting your email account.
How Turo Sync Works
Fleetiqo connects to your email account and monitors for Turo booking confirmation emails. When a new booking is detected, the system automatically:
- Extracts booking dates and rental duration
- Captures the rental income amount
- Records the renter's name
- Matches the booking to the correct vehicle in your fleet
- Creates a rental record in your dashboard
- Adds the booking to your calendar
Setting Up Turo Email Sync
- Navigate to Settings → Turo Email Sync
- IMAP Server: Enter your email provider's IMAP server (e.g., imap.gmail.com for Gmail)
- Port: Enter the IMAP port (usually 993 for SSL)
- Email Address: Enter the email where you receive Turo notifications
- Password: Enter your email app password (NOT your regular email password - see setup guides below)
- Encryption: Select SSL or TLS (SSL recommended)
- Click "Test Connection" to verify the settings work
- Once successful, the system will automatically check for new Turo emails
Gmail Setup Guide
- Go to your Google Account settings at myaccount.google.com/apppasswords
- You may need to enable 2-Step Verification first
- Select "Mail" as the app and "Other" as the device
- Click "Generate" to create a 16-character app password
- Copy this password and paste it into Fleetiqo (not your regular Gmail password)
- Use these settings:
- IMAP Server: imap.gmail.com
- Port: 993
- Encryption: SSL
iCloud Setup Guide
- Go to appleid.apple.com and sign in
- Navigate to Security → App-Specific Passwords
- Click "Generate an app-specific password"
- Enter "Fleetiqo" as the label
- Copy the generated password
- Use these settings:
- IMAP Server: imap.mail.me.com
- Port: 993
- Encryption: SSL
Linking Vehicles to Turo
For the sync to work properly, you need to link each vehicle to its Turo listing:
- Go to the vehicle details page
- Click "Auto-Sync Turo" button
- Option 1 - Paste URL: Copy your Turo listing URL (e.g., https://turo.com/.../1703741) and paste it. The system will automatically extract the listing ID
- Option 2 - Manual Entry:
- Turo Vehicle Name: Enter the exact name as it appears on Turo
- Turo Listing ID: Enter the numeric ID from your listing URL (the numbers at the end)
- Click "Save Turo Settings"
Sync Status
Once configured, you'll see sync status indicators:
- "Turo Synced" badge: Vehicle is properly linked and syncing
- "Not Synced" badge: Vehicle needs Turo configuration or email sync is not set up
Email Integration
Connect your email to automatically import rental confirmations and booking details.
Supported Email Providers
Fleetiqo supports:
- Gmail
- Outlook/Hotmail
- Yahoo Mail
- Custom IMAP servers
Connecting Your Email
- Go to Settings → Email Integration
- Select your email provider
- Enter your email address
- Enter your app password (not your regular password)
- Click "Connect Email"
- Test the connection
Creating an App Password
For Gmail:
- Go to your Google Account settings
- Navigate to Security → 2-Step Verification
- Scroll to "App passwords"
- Generate a new app password for "Mail"
- Copy the 16-character password
- Paste it into Fleetiqo
For Outlook:
- Go to account.microsoft.com
- Navigate to Security → Advanced security options
- Under "App passwords", create a new password
- Copy and paste into Fleetiqo
API Integrations
Fleetiqo integrates with several third-party APIs to provide enhanced functionality.
VIN Decoder API
Automatically fetch vehicle specifications:
- Make, model, year
- Engine type and size
- Transmission
- Fuel type
- Body style
NHTSA Recall API
Check for safety recalls:
- Automatic recall checking when adding vehicles
- Periodic recall monitoring
- Email notifications for new recalls
Market Value APIs
Get real-time vehicle valuations:
- Kelley Blue Book integration
- Black Book values
- Automatic value updates
API Settings
To configure API integrations:
- Go to Settings → API Settings
- Enter API keys for each service
- Enable/disable specific integrations
- Test connections
- Save settings
Account Settings
Manage your personal account information, password, and security settings.
Updating Your Profile
- Navigate to Account Settings
- Update your name, email, or phone number
- Click "Save Changes"
Changing Your Password
- Go to Account Settings
- Click "Change Password"
- Enter your current password
- Enter your new password (minimum 8 characters)
- Confirm your new password
- Click "Update Password"
Email Notifications
Configure which emails you receive:
- New rental notifications

Deleting Your Account
To delete your account:
- Go to Account Settings
- Scroll to "Danger Zone"
- Click "Delete Account"
- Enter your password to confirm
- Click "Permanently Delete Account"
Dashboard Settings
Customize your dashboard preferences, API integrations, and system defaults.
Language & Currency Settings
- Navigate to Settings → Language & Currency
- Preferred Language: Select English, French, or Spanish
- Preferred Currency: Choose USD, CAD, or EUR for display
- Click "Save Settings" - the interface updates immediately
API Settings
Configure third-party integrations:
- Navigate to Settings → API Settings
- VehicleDatabases API Key: Enter your API key to enable automatic market value fetching
- Default Currency: Set the base currency for financial calculations
- Default Distance Unit: Choose Kilometers or Miles for mileage tracking
- Hide Currency Switcher: Check this to hide the currency toggle in the header
- Click "Save Settings"
Theme Settings
Customize the appearance:
- Light Mode: Default bright theme
- Dark Mode: Easy on the eyes for night use
- Auto: Switches based on system preferences
Data Display
Configure how data is shown:
- Number Format: Comma separators, decimal places
- Date Format: MM/DD/YYYY, DD/MM/YYYY, YYYY-MM-DD
- Time Format: 12-hour or 24-hour
Language & Currency
Fleetiqo supports multiple languages and currencies for international users.
Changing Language
- Go to Settings → Language & Currency
- Select your preferred language from the dropdown
- Click "Save Settings"
- The interface will immediately update

Changing Currency
- Go to Settings → Language & Currency

- All financial data will display in the new currency

Currency Switcher
Enable the currency switcher to:
- Quickly switch between currencies
- View amounts in different currencies
- Compare international pricing
To hide the currency switcher:
- Go to Settings → Language & Currency
- Check "Hide Currency Switcher"
- Click "Save Settings"
Subscription Management
Manage your Fleetiqo subscription, billing, and payment methods.
Current Plan
View your subscription details:
- Plan name (Professional)
- Monthly price ($39/month)
- Next billing date
- Payment method
- Subscription status (Active, Trial, Canceled)
Updating Payment Method
- Go to Account Settings → Subscription
- Click "Update Payment Method"
- You'll be redirected to Stripe's secure portal
- Add or update your credit card
- Return to Fleetiqo
Viewing Billing History
- Go to Account Settings → Subscription
- Click "View Billing History"
- See all past invoices and payments
- Download invoices as PDF
Canceling Your Subscription
To cancel your subscription:
- Go to Account Settings → Subscription
- Click "Cancel Subscription"
- Select a reason for canceling (optional)
- Confirm cancellation
Reactivating Your Subscription
If you've canceled and want to reactivate:
- Go to Account Settings → Subscription
- Click "Reactivate Subscription"
- Confirm reactivation
- Your subscription will resume immediately
Admin Panel Overview
The admin panel is available for users with administrator privileges. It provides tools for managing users, system settings, and platform configuration.
Accessing the Admin Panel
If you have admin access:
- Log in to your Fleetiqo account
- You'll see an "Admin" link in the navigation menu
- Click "Admin" to access the admin dashboard

The admin dashboard shows:
- Total users
- Active subscriptions
- Total revenue
- System health metrics
- Recent user activity
User Management
Admins can view and manage all user accounts on the platform.
Viewing All Users
- Go to Admin Panel → Users
- See a table of all registered users
- Filter by subscription status, date joined, or activity
- Search for specific users by name or email
User Details
Click on any user to view:
- Account information

- Number of vehicles
- Total rentals

- Payment history
Managing User Accounts
Admins can:
- View user data: Access all user information
